$15.00 – $18.50 per hour
The office manager is responsible for overseeing general office procedures which include bookkeeping, mailings, typing, record management, filing, and communication support.
Qualifications
The office manager must:
- Have a minimum of 1 year experience in office procedures/finance/accounting/analysis/project management or in a relevant field
- Have a working knowledge of Microsoft Office Suite, moderate to advanced Excel skills (mail merge, tables, forms), and proficiency in standard word processing, presentations, email, and spreadsheet software.
- Have the ability to learn and manage church management software
- Have a minimum of 1 year experience in QuickBooks software; non-profit accounting experience is a plus.
- Be very detail-oriented
- Have good communication skills
- Be team oriented
- Self-starter and able to work on your own.
- Be Christ-like in all interactions
- Must pass a background screening

General
The office manager is responsible for:
- Responsible for everyday office operations. Provides timely and clear communication in support of the ministries of the chapter.
- Gives administrative support to Local Director, volunteers, and church partners by gathering, preparing, maintaining, organizing, and updating information.
- Assists in the promotion and helps facilitate prayer support for the local chapter.
- Realizes the importance of the CEF Culture Points and commits to upholding them personally and in the ministry of CEF (the importance of Godly leadership at every level, of the spiritual welfare of our workers, of prayer as our foundation, of evangelizing children, of a clear and Biblical presentation of the Gospel and of a commitment to excellence, for the glory of God).
Specific Responsibilities
The office manager must:
- Ensures correct and complete processing of all donations, deposits, and donor receipts.
- Serves as accounts payable and receivable clerk; bookkeeper for local chapter.
- Customer service, reception and communication representative. Answer and direct email, phone, and correspondence as needed.
- Manage office calendar.
- Data management in Planning Center
- Ensure all staff, board members and volunteers are screened properly in compliance with CEF policies and procedures, and in compliance with the County School policies and procedures for their school.
- Work with team leads and administrators for all clubs and schedule all Good News Clubs, etc. in Facilitron or required system(s).
- Provide support documentation for club teams with registration documents.
- Update the website through Wix.com on a regular basis.
- Assist with newsletter creation and distribution as needed.
- Prepare monthly finance and board reports.
- Assist with budget preparation and reports as required.
- Order materials for ministry through CEF Press, Bibles, etc., and maintain office supplies and equipment.
- Create annual registration online documents for Good News Clubs.
- Assist with various training events; minimum spring and fall Children’s Ministry Conferences
- Assist with planning and organizing fundraising events (ie. Banquet, walkathon, etc.)
- Prepare and submit grant requests under Local Director authorization.
- Support all areas of ministry and order needed supplies for each area of ministry (ie. CYIA, GNC, 5-Day Clubs, Christmas and other party clubs, various training, etc.).
- Support the Local Director, Ministry Coordinator, all other staff and volunteers as needed.
- Perform duties and projects as assigned
Specific Qualifications
Who we are looking for:
An office manager for this chapter will bring order to chaos. This person will be extremely detail-oriented and a problem solver. This person should have experience with Quickbooks. Results are accomplished using checklists, processes, and procedures. An experienced and adept leader at implementing routine and structure in whatever situation you find yourself in. Efficiency and the ability to complete complex administrative tasks with minimal supervision is key to this role. Impeccable verbal and written skills are great assets to bring to the table. Be a lifelong learner. More importantly, you are a born-again believer who feels called by God to the ministry of child evangelism, and you’ve proven your capabilities in a business or organizational setting in a Christ-like professional manner.
Upon hire, the office manager will support and maintain administrative operations of Child Evangelism Fellowship® within Florida’s East Central areas of responsibility.
